Staying Productive With Time Management Apps

For a busy small business owner, keeping track of all the things that need to be done during a typical business day (and often late nights) can be challenging. With a wide variety of responsibilities and roles to fill, knowing where to start can be tricky, let alone making sure nothing falls through the cracks.

To help small business owners and team managers take care of important tasks and manage their days effectively, there are a variety of time management applications (apps) available.  By letting people see what needs to be done, and when it needs to be completed, business owners can concentrate on the most important tasks without wasting time worrying about any details they may have overlooked.

Managing Time

For most small business owners, the idea of “time management” can be a bit of a misnomer. Instead of keeping track only of time, effective productivity involves keeping track of what needs to be done, as well as upcoming meetings or appointments.

Several apps have been developed to create an integrated view of the day’s events and needed tasks, which helps small business owners prioritize and delegate effectively while making sure the most important to-dos are tackled first.

As a good starting point, don’t overlook the built-in applications that came with your mobile device. Both iOS and Android™ handsets come with calendar apps that sync with your laptop or other computing devices, and allow you to create a number of calendars that can be displayed on the same screen.

This kind of integration can be helpful if you organize your work and personal or family obligations on different calendars, or if you share calendars with family members or co-workers. You can allow some people to access or edit specific calendars, with your device providing an integrated view.

You can also program time- or location-specific reminders to toggle your memory about getting something done. In addition to built-in applications, popular choices include RemindYou and Omnifocus®.

The Power of Lists

Another time management approach that many small business owners find productive is creating checklists to make sure important or routine tasks aren’t overlooked.

Lists can provide a central location for the things you want to get done in a day or other important information you want to access when it’s most productive for you. There are a variety of to-do list or project management applications that help you set priorities and reduce the odds of a small detail being overlooked. While the approach varies among applications, most provide a convenient place for storing ideas or information so it can be accessed later.

Most list management applications include synchronization features so you can create or edit a list on one device, and access or update it on another. For example, this can be convenient if you’ve created a list on a laptop and want to check it via a mobile device while you are in a store or away from your workplace. Many list-management tools also allow you to email or print lists so you can delegate work tasks to team members.

By recording tasks or ideas with mobile apps, your smartphone or tablet can serve as a powerful productivity tool that helps you remember and take care of important tasks efficiently and effectively.
